A quotation for custom scientific equipment may appear complete because it lists:

But the equipment price is not always the same as the buyer’s final installed project cost.

For an exported electromagnet, Helmholtz coil system, magnet power supply, Hall Effect Measurement System, VSM platform, cryostat, or integrated Magnet & Field System, additional costs may arise from:

The problem is that buyers and sellers may interpret those exclusions differently.

A strong quotation should explain:

These problems are preventable when responsibilities are defined before the order.

2. “Not Included” Does Not Always Mean “Unavailable”

An excluded item may fall into several categories.

Not Required

The project may not need the item.

Example:

A compact air-cooled electromagnet does not require a chiller.

Buyer-Supplied

The buyer is expected to provide the item locally.

Example:

The university provides its own vacuum pump or dry nitrogen.

Optional

The supplier can provide it for an additional price.

Example:

On-site commissioning, additional sample holders, or a recirculating chiller.

Quoted Later

The cost cannot be finalized until more information is available.

Example:

Freight after packaging dimensions and destination details are confirmed.

Third-Party Cost

The supplier does not directly control the price.

Example:

Import duties, local customs charges, visa costs, or local rigging.

A useful quotation should identify which category applies.

3. Included, Excluded, Assumed, and Optional Are Different

These terms should not be used interchangeably.

Included

The quoted price covers the item or service.

Excluded

The buyer should not assume that the quoted price covers it.

Assumed

The quotation is based on a condition that has not yet been fully verified.

Example:

The laboratory has three-phase 380 VAC power available.

Optional

The buyer may add the item for a stated or separately quoted price.

Buyer-Supplied

The buyer is responsible for selecting, purchasing, installing, and maintaining the item, subject to stated interface requirements.

Estimated

The amount is provisional and may change when final information becomes available.

A professional quotation should label these categories clearly.

4. Start with the Incoterms® Rule

The quotation should state the applicable Incoterms® rule.

Incoterms® rules allocate defined transportation-related tasks, costs, and risks between the seller and buyer. They address matters such as carriage, insurance obligations under certain terms, export and import formalities, delivery location, and the point at which risk transfers.

Common terms for scientific equipment include:

  • EXW — Ex Works
  • FCA — Free Carrier
  • CPT — Carriage Paid To
  • CIP — Carriage and Insurance Paid To
  • DAP — Delivered at Place
  • DPU — Delivered at Place Unloaded
  • DDP — Delivered Duty Paid

The selected term can materially change what is included in the seller’s price.

5. Always Include the Named Place

Writing only “FCA” or “DAP” is incomplete.

The quotation should state:

  • The Incoterms® rule
  • the exact named place
  • the agreed version

Examples:

  • FCA Nanjing, China, Incoterms® 2020
  • CPT Frankfurt Airport, Germany, Incoterms® 2020

The named place matters because it defines where certain delivery obligations and costs end.

“DAP Germany” is too vague.

“DAP Building A loading dock, named university address, Germany, Incoterms® 2020” is much clearer.

6. Incoterms® Do Not Define the Entire Contract

Incoterms® are important, but they do not settle every commercial issue.

The U.S. International Trade Administration notes that Incoterms® do not determine matters such as payment method, ownership transfer, every document required for destination customs clearance, liability for non-conforming goods, delayed delivery, or dispute resolution. These issues must be addressed elsewhere in the sales contract or quotation.

A quotation should therefore not rely on one Incoterms® abbreviation to explain:

These require separate language.

7. EXW Does Not Mean “Everything After the Factory Is Simple”

Under an EXW-style quotation, the equipment price generally does not include the main international transportation arrangement.

8. Freight Exclusion Should Be Broken Down

“Freight not included” may refer to several different costs.

  • Who pays estimated duties and taxes?
  • Who responds to customs questions?
  • Who obtains any destination import permit?

The International Trade Administration explains that Incoterms® identify which party is responsible for import or export authorizations, customs formalities, and associated costs under each rule.

16. DDP Is Not Always Practical

DDP may appear attractive because the seller takes broad delivery and import responsibilities.

However, a foreign seller may face practical difficulties involving:

  • VAT registration
  • local product compliance
  • payment of import taxes
  • post-import tax reporting
  • institutional import rules

Before requesting DDP, buyers should confirm whether the seller can legally and practically perform the importer-side responsibilities in the destination country.

DAP or another structure may be more workable when the buyer or university is the established importer.

17. Customs Brokerage and Destination Handling Need Their Own Line

Even when the buyer pays duties, additional destination charges may apply.
